Taking entries¶
Warning
Outline only. The screens and menu paths below are correct, but the step-by-step detail has not been written or checked yet. Do not rely on this.
Entries arrive from the day the event opens until it closes. This is the longest stretch of a trial secretary’s work and most of it happens on one screen.
Before the first entry¶
The event must exist and be selected — see Setting up a trial. Confirm the classes, judges and fees are right before entries start arriving, because correcting them afterwards is much more disruptive.
Entering a dog¶
Entries → Computer Layout is the main entry screen.
The recommended order, from long practice, is:
Add the owner first — Maintenance → Owner Maintenance
Add the dog for that owner — Maintenance → Dog Maintenance
Add the dog to the event — Entries → Computer Layout
A dog already in the database from a previous trial does not need re-entering; find it and add it to this event.
Warning
To be written: finding an existing dog, what each field on the entry screen means, choosing classes and jump height, and what the program works out for itself.
Payments¶
Entries → Entries and Payments records entries alongside what was paid.
Fees are positional per day — see Entry Fee — so the amount owed depends on how many classes the dog is entered in on each day.
Warning
To be written: recording a payment, envelopes, what happens when the fee owed and the fee paid disagree.
Confirmations¶
Reports → Confirmation produces confirmation letters, one per dog or one per owner, and the judging schedules that go out with them.
The Centers → Email Center sends them by email instead of on paper, using the messages set up on the Email Messages tab.
When the event fills¶
Two menus handle an oversubscribed event:
Centers → Random Draw Center when entries are accepted by draw
Centers → Wait List Center to manage the wait list
Warning
To be written: running a draw, moving dogs off the wait list, telling exhibitors.
Move ups¶
Entries → Move Up handles dogs moving up a level between the entry closing and the trial, and Maintenance → Move Up Maintenance the records behind it.
Closing entries¶
Warning
To be written: what to check before closing, and what to produce once closed.
Then move on to Day of trial.
